What we collect, why we collect it, and what we will never do with it.

This policy explains what CiteWave Systems LLC ("CiteWave", "we", "us") does with information collected through citewavesystems.com. It covers the website only. Information we handle while working on a client engagement is governed by the agreement signed for that engagement.
The short version
This site runs no analytics, no advertising pixels, no session recording, and sets no tracking cookies. The only information we actively collect is what you type into the contact form. We do not sell it, rent it, or share it for advertising.
Information you give us
Our contact form asks for your name, business name, email address, phone number, website, the service you are interested in, and your message. All of these except your message are the fields we use to identify and reply to you; you decide what to put in the message itself.
Form submissions are delivered to us by Web3Forms, a third-party form-processing service. Your submission passes through their systems on its way to our inbox. If you would rather not use the form, email us directly at hello@citewavesystems.com.
Information collected automatically
Our host, Netlify, records standard server logs when a page is requested: IP address, browser and device type, the page requested, the referring page, and a timestamp. This is ordinary web-server operation, used to deliver the site and to investigate abuse or outages. We do not combine these logs with form submissions to build a profile of you.
Every page on this site is served entirely from our own domain. Styling, images and scripts are all first-party, so simply viewing a page sends no request to any outside company and reveals your IP address to nobody but our host. The only exception is our content editor at /admin, which only we can reach and which search engines are told not to index.
Cookies
We set no cookies for analytics, advertising, or visitor tracking, so there is no cookie banner on this site. The only cookies that can be set are by the Netlify Identity service used to log in to our own content management system — those apply to site administrators signing in, not to visitors reading the site.
How we use information
- To answer your enquiry and, if it goes further, to scope and deliver work.
- To keep records of our business correspondence.
- To keep the site running, secure, and available.
- To meet legal, tax, or accounting obligations.
We do not use your information to train machine learning models, and we do not send marketing email to people who only submitted a contact form. If we ever add a mailing list, it will be opt-in and separate from this form.
Who we share it with
We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We share it only with:
- Service providers that operate parts of this site or our business — currently our host (Netlify), our form processor (Web3Forms), and our email provider. Each handles the data on our instructions.
- Professional advisers such as an accountant or lawyer, where needed.
- Authorities, where we are legally required to.
How long we keep it
Enquiries that do not become engagements are kept while the conversation is live and for a reasonable period afterwards, then deleted. Records connected to a paid engagement are kept as long as needed for the work and for the period our tax and legal obligations require. Server logs are retained on our host's standard schedule. You can ask us to delete your enquiry at any time.
Your choices and rights
You can ask us to tell you what information we hold about you, correct it, delete it, or send you a copy. Email hello@citewavesystems.com and we will respond within 30 days. We will not treat you differently for making a request.
California residents. California law gives residents rights to know, delete, and correct personal information, and to opt out of its sale or sharing. We do not sell or share personal information, so there is nothing to opt out of — but the rights to know, delete, and correct are available to you through the same email address above. You may use an authorised agent to make a request on your behalf.
Security
The site is served over HTTPS, and access to our systems is protected by strong authentication. No method of transmission or storage is completely secure, so we do not claim it is — please do not send confidential case details, medical information, or financial account numbers through the contact form. A first conversation does not require them.
Children
This site is aimed at businesses and is not directed at children. We do not knowingly collect information from anyone under 16. If you believe a child has sent us information, contact us and we will delete it.
Changes to this policy
If we change how we handle information, we will update this page and the date at the top. Material changes will be described here rather than made silently.
